Voice Notes & Sharing Recordings

The built-in Voice notes workflow, and how to share any recording as a public link.

Every account includes a built-in Voice notes workflow, ready to use with no setup. And any completed recording — whether it came from Voice notes or a workflow that delivers to Notion, email, or anywhere else — can be turned into a public link.


What is Voice notes?

Voice notes is a workflow that's always available on your account. Record with it and SendMyVoice transcribes the audio, generates an AI summary, and saves both to your dashboard. There's no database, document, or email to configure, and nothing gets delivered anywhere else — the recording just stays in your history.

It's always present, it can't be deleted, and it doesn't count toward your plan's workflow limit. Recordings made with it count toward your monthly recording limit the same as recordings from any other workflow.


Recording a voice note

Voice notes is the first option in the workflow picker, whether you start from its card on the dashboard or from the record page directly.

  1. Open the record page (from the dashboard, or the Voice notes card)
  2. Voice notes is selected by default — or choose it from the workflow dropdown if a different workflow was selected last
  3. Record, review, and hit Send

What happens after you hit Send

The same processing pipeline as any recording, minus the delivery step:

  1. Transcribing audio — speech converted to text
  2. Understanding content — AI generates a title and summary
  3. Done — there's no destination, so there's no delivery step

The transcript, summary, and audio all show up in your dashboard history, same as any other recording.


Sharing a recording

Any completed recording can be turned into a public link — one made with Voice notes, or one that was already delivered to Notion, a Google Doc, a spreadsheet, or an email inbox.

  1. Open the recording's detail page
  2. Click Share
  3. In the dialog, copy the link to page — or use one of the share options below

The link never expires until you revoke it, and no account or sign-in is required to view it.

What recipients see

Anyone with the link gets a page with:

  • An audio player for the recording, with a seekable waveform
  • The full transcript
  • A download button for the audio file

Put it in an email

In the Share dialog, choose Copy image to copy a play-button image. Paste it into a Gmail or Outlook message and it becomes a clickable player — your recipient clicks it and listens on the web. The dialog also has one-click Email, X, LinkedIn, and Facebook buttons that open a prefilled share.

Embed it on a website

Choose Embed to get a copy-paste snippet you can drop onto any web page. See Embed a voice note on your website for the theme, accent, and branding options.

Editing a recording

On a completed recording, click Edit to fix the title, tidy the transcript, or rewrite the summary. If the recording is shared, the public link updates too.

Editing doesn't re-post to a destination like Notion or a Google Doc — those keep whatever was originally delivered.

Stopping a share

Open the Share dialog and click Stop sharing. The link stops working right away. Deleting the recording also deletes its share link — there's nothing left at the old URL.


Quota notes

  • The Voice notes workflow itself doesn't count toward your plan's workflow limit — it's always there.
  • Recordings made with Voice notes count toward your monthly recording limit (Free: 20/month), same as recordings from any other workflow.
  • Sharing a recording doesn't create a new recording and doesn't use any additional quota — it just adds a link to a recording you already have.
